Role Overview
We are looking for a Senior Administration Specialist who is ready to step up from a junior-level contributor to a mid-level owner of key admin processes. This role combines hands-on execution with process ownership — you will not only manage day-to-day administrative operations but also identify opportunities to improve, refine, or create new SOPs and workflows. You will serve as a key liaison between the Admin team and multiple business stakeholders, ensuring smooth communication and efficient service delivery.
Responsibilities
Hands-On Administration
• Administrative affairs management, including but not limited to office environment maintenance (workstation areas, public areas, conference rooms, and facilities), administrative supplies procurement, and visitors reception.
• Fixed assets management (PC, Laptop, and other administrative facilities), including application, installation, and technical support for both onsite and work-from-home employees. Keep close collaboration with Group IT and Global Fixed Asset Administrators.
• Seat management and workstation distribution: maintain accurate and real-time seat inventory and seating charts; coordinate team seating needs efficiently and liaise with Workforce to maximize workspace utilization; partner with Group Administration to drive workspace expansion when needed.
• Emergency response with tiered protocols: respond to and resolve administrative emergencies (power outages, network failures, HVAC malfunctions, office fit-out, etc.). For major incidents — complete planning, deployment, and stakeholder notification at least one week in advance. For general incidents — resolve promptly with 2–3 days' notice and cross-department coordination. Minimize disruption to employee services under all scenarios.
• Store management and collaboration with the culture team on organizing culture events and employee engagement activities.
Stakeholder Communication & Coordination
• Serve as the primary point of contact for administrative matters across multiple business teams, ensuring clear, timely, and professional communication.
• Proactively gather requirements from business stakeholders, translate them into actionable admin plans, and manage expectations with transparent updates.
• Coordinate cross-functionally with Group Admin, IT, HR, and business unit leaders to align admin priorities with business needs.
• Demonstrate sophisticated and efficient communication skills in both written and verbal formats — capable of briefing senior stakeholders, writing concise policy updates, and facilitating group alignment.
SOP & Workflow Ownership
• Review, refine, and continuously improve existing administrative SOPs and workflows to drive efficiency and consistency.
• Create new SOPs and workflows where gaps are identified, ensuring they are documented, tested, and rolled out with proper training.
• Build and maintain the knowledge base of Admin, IT, and relevant policies; ensure timely updates are published on KB and other internal channels.
• Propose and drive process improvements, leveraging data and feedback to prioritize changes that deliver the most value.
Qualifications
• Full-time Bachelor degree or above, with 4+ years of working experience in administration or a related field.
• Solid hands-on experience in day-to-day administrative operations — comfortable rolling up your sleeves while also thinking strategically about process improvement.
• Proven ability to communicate effectively with multiple stakeholders at different levels — from front-line staff to senior business leaders. You can distill complexity into clarity.
• Demonstrated experience in reviewing, refining, or creating SOPs and workflows. You see inefficiency as an opportunity, not a frustration.
• Strong organizational skills with the ability to manage competing priorities and deliver results under pressure.
• Proficient in using office software and collaboration tools.
• Good communication skills in both Chinese and English (written and verbal).
